1. Before opening a project
Before formally starting the project, the consultant — where possible — visits the client's site. If a visit is not feasible, they request photos or videos of the production line, work environments, offices and main operational areas. All material is archived in the client folder on MyConsultant.
They then conduct an interview with the organization's key people, including via conference call, to understand:
- how activities are carried out;
- who performs each activity;
- who performs the controls;
- which responsibilities are assigned;
- which documented evidence is already available;
- which standard requirements (clauses 4–10) apply.
Tip
2. The platform
The platform, available at aegissoftwaresolutionsdb.dev, lets you build a complete management system across multiple ISO standards in a guided way, even without advanced specialist expertise. The consultant runs the process; the AI speeds up drafting and keeps documents consistent.
3. Creating and configuring the client
To get coherent, personalized documents that fit the client's business, the client profile must be filled in carefully. At creation time, include at least:
- Company logo — automatically applied to the header of generated documents (max 2 MB, transparent background, long side 600–1200 px).
- Activity description — matching the certification scope to appear on the certificate. Clear, concise, consistent with the activities actually performed.
- Baseline company documentation — chamber of commerce extract, risk assessment, safety plan, org chart, existing certifications, procedures, policies, authorizations, contracts.
Tip
4. Selecting the project and ISO standard
Once the client is configured, open the Project section and select the ISO standard to apply. The platform uses the client profile and uploaded documents to generate the documented information required by the management system.
5. Additional notes: how to steer the AI
Many document sections expose an Additional notes field. Here the consultant enters specific information that emerged from the interview or document review: operational specifics, regulatory constraints, specific risks, stakeholder needs, criticalities, priorities.
6. Customizing generated documents
Once the management system is generated, individual documents can be reviewed, corrected and customized based on further conversations with the client. Recommended when you have time before the audit: it makes documentation more aligned with the organization, operational processes and established practices.
Heads-up
7. Operating recommendation
For an effective outcome, don't limit yourself to mandatory documents only: provide the platform with all the information available about the client. The higher the quality of input data, the higher the system's ability to produce documents that are genuinely personalized, coherent and useful for implementation and certification.
Once the full document set is generated, read it through and refine it further before delivery.
